This guide is intended for practitioners who have entered the field of family slot coordination without adequate preparation. The field is not what it appears from a distance.
What the Field Researcher Will Encounter
Upon arrival, the field researcher will find that every household member has a schedule. The schedules are maintained with varying degrees of precision. Some are stored in digital calendar applications. Some are stored in a combination of mental notes and Post-it adhesives. At least one member maintains no schedule at all and relies on memory, which they describe as reliable and which the field researcher will come to understand is not.
The coordination problem arises when two or more members require the same shared resource at the same time, or when a collective activity must be scheduled and each member presents their availability in a format incompatible with the others. One member is free all day Tuesday. Another is free Tuesday afternoon. A third is free Tuesday but not until after six, and only if the thing they think might be happening does not happen, which they will know more about by Monday.
Three Field Observations
First observation: the slot that accommodates everyone exists in theory and is rarely available in practice. The theoretical slot is typically early on a weekend morning when few genuine conflicts arise, but no one is willing to use it for discretionary activities because it feels like a consequence rather than a choice.
Second observation: the negotiation process takes longer than the activity it is trying to schedule. A dinner that requires ninety minutes to conduct requires three days of slot coordination to arrange. This is not efficient, but efficiency is not what the field is measuring.
Third observation: the household member who does not respond to calendar invitations is not hostile to the activity. They are hostile to calendar invitations. This distinction is important and should be respected even though it makes coordination materially more difficult.
The Governing Rule
Family slot coordination operates according to a rule that the field researcher will find counterproductive but accurate: the more people who need to agree, the more weight each individual's constraint carries, regardless of the objective size of that constraint. One person's preference for a specific dinner hour carries the same effective weight as another's non-negotiable work obligation. Both are described using the word "can't."
A Note on Sympathy
The field researcher should maintain sympathy for all parties. This is difficult when the slot has been discussed for a week and remains unresolved. It is nonetheless recommended, because the alternative is a different coordination problem, and that one is harder.
