Field Notice on Meeting Hydration Staging
A person fills a water glass before every video call. The glass is placed to the left of the keyboard. It is refilled if it falls below one-third full before the call ends. This has been the practice for nine months.
SUBJECT: Annual Review of Meeting Hydration Staging (MHS): FY2021
Status: Active. Deployed before one hundred and twelve calls in the review period.
Summary of Findings
Meeting hydration staging was established in February 2021 after a call during which the person experienced dry throat mid-presentation and had to pause to locate water. The incident lasted approximately eight seconds and was not mentioned by any attendee.
The practice established in response to this incident has been deployed before every scheduled call since.
Deployment Metrics
Total calls in review period: one hundred and twelve. Calls during which water was consumed: thirty-seven. Calls during which the glass was not touched: seventy-five. Calls during which the glass was touched, water was not consumed, and the glass was returned to its left-of-keyboard position: twenty-one.
The staging behavior takes forty seconds and has become a non-negotiable precondition for a call in which the person will speak for an average of four minutes.
The Origin Event in Context
The February presentation was fifty minutes long and involved a live demo with extended speaking. It was the longest call of that month. The dry throat incident occurred at minute thirty-eight.
The practice that formed in response governs calls that average twenty-two minutes, of which the person speaks for a median of four. The thirty-eight minute problem is being addressed in the four-minute context.
Secondary Behaviors That Have Accumulated
In addition to the water glass, meeting hydration staging now includes: lip balm applied thirty seconds before the call, a brief voice-clearing conducted facing away from the laptop microphone, and a check of the microphone level before unmuting.
The lip balm was added in April after a call during which the person became aware of dry lips. The voice-clearing was added in June after a call that started with an inadvertent cough. The microphone check was added in July after a call during which the microphone was muted for the first forty-five seconds.
Each addition addressed a real event. Combined, they constitute a ritual that takes three minutes and governs a call that starts in three minutes.
The Measured Concern
The concern is not the hydration. Hydration is advisable. The concern is the totality of the pre-call sequence and the absence of any mechanism by which a behavior added under specific circumstances is later evaluated against the frequency of those circumstances.
No further incidents of dry throat have occurred. The practice continues at full deployment.
Recommendation
Identify which behaviors in the pre-call sequence have actually prevented a repeat incident and which are theoretical protection against incidents that have not recurred and are unlikely to. This analysis has not been conducted.
File for next annual review.
