Findings Concerning Copy Paste Formatting
Classification: Forensic Analysis — Digital Interface Subject: Text Pasted Into a Document This Afternoon Problem: The font is now wrong and the paragraph spacing is different
Reconstruction of the Incident
The user copied a phrase from a web page. The phrase was seven words. The user intended to incorporate the phrase into a document they were writing.
The paste was executed.
The seven words arrived in the document. They arrived in a sans-serif font at 11pt in a document set to a serif font at 12pt. The line spacing of the pasted words was 1.0. The document was set to 1.5.
The words were technically present. The words were not integrated.
The Cleanup
The user selected the pasted text. The user opened the formatting options. The user matched the font. The user matched the size. The user matched the line spacing.
The words now appeared integrated. Almost.
A subtle spacing difference remained at the end of the sentence, visible only in a certain light and at a certain zoom level. The user found it. The user spent four minutes eliminating it. The user is not certain it is gone.
The Workaround
The correct approach, widely known, is to paste without formatting using a keyboard shortcut that strips incoming styles and applies the document's default.
The user knows this shortcut. The user uses it approximately half the time. The other half, the user defaults to the standard paste and spends the subsequent minutes on cleanup.
The ratio has not changed with new interfaces. The workaround was created in an older application and followed the user to each subsequent environment.
A new document editor with better paste handling was introduced. The user uses the editor. The user still pastes with the standard shortcut by default.
Note on the Original Decision
Retyping the seven words would have taken eleven seconds.
The formatting cleanup took four minutes.
This arithmetic is available before every paste. It does not change the paste behavior.
Copy Paste Formatting is policy. The workaround is known. The workaround is not reliably used. The document now has one paragraph with slightly different spacing.
