Incident Report: Desk Booking Optimism

Date of Incident: Tuesday, July 8, 2025 Reporting Party: Office Facilities, Observation Division Status: Ongoing

Summary

A desk was booked four days in advance. This is not unusual. The booking system exists for this purpose. What is documented here is the gap between the desk that was booked and the desk that was used, which is the desk in a different part of the building that nobody booked, located near a window, occupied by a coworker who is no longer sitting there.

The desk in a different part of the building is the desk that was actually used.

Contributing Factors

The coworker who books an office desk days ahead and then works from somewhere else in the building does not experience this as a contradiction. The booked desk represented an intention. The intention was good. The intention was early. Early intentions are evidence of a professional who plans, and the professional's booking history confirms this, regardless of whether the bookings are honored.

The desk booking optimism survives because appearing organized is easier to measure than being finished.

Pattern Documentation

Tuesday: Desk 14B booked. Subject sat at Desk 22A. Wednesday: Desk 14B booked again. Subject sat in a meeting room until 4pm, then left. Thursday: Desk 14B not booked. Subject sat at Desk 14B.

The data does not support any hypothesis about the subject's actual desk preferences. It does support the hypothesis that booking and sitting are functionally unrelated decisions.

Systemic Effects

Colleagues begin preparing artifacts whose main purpose is proving participation. Two other team members have begun booking desks in advance because the subject does it, which suggests it is a professional behavior. The booked desks are now regularly unoccupied. The booking system shows the floor as nearly full every day. The floor contains, on average, eight people.

Soon the supporting process has owners, templates, deadlines, and more governance than the work it was meant to simplify.

Desk 14B Status: Available.
