The Matter of Agenda After Meeting
The meeting has been running for twelve minutes. Someone has opened a document to write the agenda. The agenda will describe what has already happened.
The meeting started at 3pm without an agenda.
This was not a failure. It was a normal meeting start. Someone had called it. The subject was generally understood. The specific structure had not been prepared.
At 3:07pm, the question was raised: should there be an agenda?
The Document
A shared document was opened. The agenda began:
Item 1: The thing that had been discussed for the past seven minutes.
This item was already complete at the time of writing. The agenda created a record that Item 1 had been a structured agenda item rather than an unstructured opening topic. This made the meeting appear more organized than it had been at 3:00pm.
Item 2: Next steps. (Not yet discussed.)
Item 3: Any other business. (Standard.)
The Function
The agenda produced at 3:09pm served three purposes. First, it organized the remaining meeting time, which was approximately thirty-five minutes. Second, it provided a reference document that could be shared after the meeting with people who weren't present. Third, it made the meeting feel more professional in retrospect.
None of these are trivial. The retrospective agenda is not fraudulent. It is a documentation of a meeting that happened without prior structure, created in time to cover the remaining meeting.
The Outcome
The meeting ran to 3:44pm. The agenda document was shared. Item 1: covered. Item 2: three next steps documented. Item 3: one additional item raised and resolved.
The meeting had an agenda. The agenda was written during the meeting. Both of these are true and are compatible.
