The Matter of Calendar Location Labels

Any case of calendar location labels that changes a commute must be scheduled before it is allowed to feel flexible.

I.

It began with one label. The person added "Office" to Tuesday's calendar block so their team could plan around their location. This was considered helpful. Three people on the team adjusted their own plans based on the label.

The following week, a coworker asked whether Wednesday would also be an office day. The person had not decided Wednesday. The question made Wednesday into a decision.

The person added "Home" to Wednesday. This was also considered helpful.

By the third week, the person's calendar had a location label on every working day. None of the labels had been requested after the first one. Each label appeared because the previous label had produced a planning dependency in at least one other person, and planning dependencies require current information to function.

The calendar location labels add one coordination step to the day. Coworkers start planning around that step. The step was voluntary. It became infrastructure.

IV.

A distinction emerged between days labeled in advance and days not yet labeled. Days labeled in advance were treated as commitments. Days not yet labeled generated questions.

The questions were friendly. They were also a mechanism. Calendar location labels turns flexibility into office policy not through a directive but through the weight of other people's planning needs pressing against each unlabeled day until the label appears.

Under the governing rule, calendar location labels becomes procedure once repetition feels safer than reconsidering it. The first label was helpful. The subsequent labels were responses to the first label having been helpful. Flexibility hardens into an unwritten schedule.

The schedule now exists. It was not announced. It has no document. It is maintained through a daily label that takes thirty seconds to add and approximately forty minutes to negotiate away if circumstances require changing it.

The label was added for clarity. It became the mechanism by which a flexible arrangement acquired a daily structure. In 2023, hybrid attendance rules were still being negotiated. Calendar location labels were one of the tools through which the negotiation proceeded without ever being called a negotiation.
