Operating Guide for Meeting Note Rewrite

A practical field guide to the stages through which rough meeting notes become clean AI-assisted summaries presented as ordinary admin work.

Stage 1: Raw capture

The meeting ends. The notes are partial. Abbreviations. Half-sentences. Names next to verbs with no connecting logic. The document is not shareable. This is the starting condition.

Stage 2: Tool engagement

Someone feeds rough meeting notes into an AI tool and presents the clean summary as ordinary admin work. This is Stage 2 in the guide because Stage 1 must happen first: the AI tool requires the raw capture as input. The tool produces a clean document. The clean document is reviewed.

Stage 3: The manual check

Meeting note rewrite adds one private manual check to the workflow. This is the stage most practitioners underestimate. The check is not optional. It is where the summary is confirmed to be accurate, attributed correctly, and free of confident confabulations. The check also confirms that the output sounds right. The help is useful enough to use and awkward enough to disguise, and the disguise happens primarily in Stage 3.

Stage 4: Delivery

The clean summary is sent or posted. It is received as ordinary admin work because it arrives in the same format, at the same time, as all prior summaries. The governing rule has activated by this stage: meeting note rewrite becomes procedure once repetition feels safer than reconsidering it.

Stage 5: Normalization

That check becomes part of the normal workflow. Assisted work becomes routine while disclosure stays exceptional. The field guide does not specify when or whether disclosure occurs. That is outside the scope of this operating guide.
