Subject: The Handover Document Left by Ananya Before Her Extended Leave Receiving Party: The Team Document Status: Exists. That Is Where the Confidence Ends.


Section 1. Description of Document

The document is seventeen pages. This is longer than expected and shorter than needed.

Pages one through four describe the project with a thoroughness that suggests someone who understood the project very well. Pages five through twelve describe processes using language that references other documents not included here. Pages thirteen through sixteen are a table with column headers and no data. Page seventeen says "see Slack."


Section 2. The Phrase "Self-Explanatory"

The phrase appears in four places:

  • "The deployment process is self-explanatory once you've done it once." — The team has not done it once.
  • "The client naming conventions are self-explanatory." — They are not.
  • "The escalation path is self-explanatory given the org chart." — The org chart has changed twice since this was written.
  • "The exception handling is self-explanatory." — The exception handling is a paragraph no one has yet successfully parsed.

Section 3. Context That Was Not Written Down

The following items were, by the team's best estimate, known to Ananya and not documented:

  • Why the staging environment is named after a river
  • What the second approval step is actually approving
  • Who the client contact is when the main contact is unavailable
  • Why one column in the primary database has no values but must not be deleted

Section 4. How the Gap Is Being Managed

A workaround was created in the first week. The workaround involves asking a person in another department who used to work on this project and remembers some of it. This person is now being scheduled into meetings.

The workaround has been mentioned to the new hire as "how we usually do it." The new hire does not know there is a document.


Section 5. Status

Preliminary. Findings continue to develop each time someone needs to do something the document described as self-explanatory.

A better document has been proposed. The proposal has survived one objection and is therefore standard practice. No replacement has been written.
