Terms Governing Hybrid Meeting Duplication

Joining the same meeting from a laptop inside the conference room is neither a workaround nor a policy.

SECTION 1. DEFINITIONS

"Hybrid meeting duplication" refers to the condition in which a participant physically present in a room equipped with video conferencing infrastructure also connects to the same meeting through a personal device, producing two simultaneous instances of their attendance: one via the room's shared camera and microphone, one via their laptop or phone.

SECTION 2. BASIS FOR THIS CONDITION

The conference room is present and the individual laptop is present and both are technically in the meeting. This condition arose because participants no longer fully trusted the room audio to capture their contributions reliably. The laptop backup is not required. It is precautionary. The precaution has persisted.

SECTION 3. CONSEQUENCES

Hybrid meeting duplication adds one coordination step to the day. The step is: which device do I speak from. The answer varies by meeting, by room, by participant count, and by the organization's most recent guidance, which may differ from the guidance issued six months prior. Coworkers start planning around that step. The meeting organizer has begun noting in the invite whether room audio is reliable. This is new.

SECTION 4. THE CONTRADICTION

The day is called flexible while requiring extra location planning. A participant who comes to the office must determine, before leaving home, whether to bring equipment sufficient for dual-mode attendance at a room that may or may not have functioning audio. The flexibility is real. The planning it requires is also real. Both conditions apply simultaneously.

SECTION 5. GOVERNING RULE

Under the governing rule, hybrid meeting duplication becomes procedure once repetition feels safer than reconsidering it. The laptop comes to the room because it came to the room the last time, and last time the room audio failed at a critical moment, and there is a meeting this afternoon that is not the time to discover the audio has failed again.

Flexibility hardens into an unwritten schedule when the workaround outlasts the problem it was introduced to solve. No provision is made herein for the resolution of this condition.
