The Meeting That Could Email Exception

Formal classification of a recurring call whose informational content does not justify its duration or attendance list.

3 MIN READonline fatigue

What

This notice classifies recurring calls whose total informational payload, measured in sentences useful to the majority of attendees, does not exceed three. Calls of this type will be referred to as meetings that could email.

The classification applies regardless of: the meeting's name, its recurring status on the calendar, the seniority of whoever called it, and the number of people who have attended it without complaint for multiple consecutive quarters.

Criteria

A meeting qualifies for this classification if:

  1. The primary update could be transmitted by a written message requiring less than ninety seconds to read.
  2. The Q&A portion has not produced a new question in more than two recent occurrences.
  3. Attendance is regarded by participants as mandatory but the mechanism of that mandate is not documented anywhere.

The first case of meeting that could email changes one small decision without being discussed. Someone attends, learns nothing they did not already know, and returns to their desk. This is a completed event. No flag is raised.

Operating Principle

After repetition, other people begin adjusting their behavior around meeting that could email. Participants begin doing other work on the call. The meeting now contains an audience that is technically present and substantively absent, and this arrangement is more stable than anyone initially expected.

The tool is supposed to save attention, yet using it creates another thing that demands attention. By 2022 screen exhaustion had moved from novelty to routine, and recurring calls felt like permanent infrastructure. Infrastructure is not evaluated on current utility. It is maintained.

Any digital burden may remain permanent if dismissing it takes less effort than fixing its source. Canceling the meeting requires a conversation. The conversation requires explaining that the meeting adds no value. Explaining this requires a position. Holding a position requires spending social capital. The math does not favor cancellation.

Date of Effect

Eventually meeting that could email acquires an unwritten enforcement system that everyone denies creating. The person who stops attending is noted. The person who attends and says nothing is not. The enforcement is passive and durable.

This classification is effective as of this notice and requires no response from the classified meeting's organizer.
